TMS Troubleshooting Guides - Course Management Issues

I can’t find the course I want to book in TMS.

The course you’re looking for may be hidden, to unhide this you will need to access the admin area and select ‘Course Management’. Search for the course you need visible and then select ‘Edit’. If the ‘Visible for Tenant’ box is ticked it should appear within the system, if it’s unticked the course is hidden.

A course isn’t appearing when I search for it as it’s spelt incorrectly.

You can manage all course details within the admin area, note that this is the AIS admin area and not the multi-tenant TMS admin area. Search for the course you need to update in the admin area, select ‘Actions’ and then ‘Details’. You can update all course information here including the course title.

A certificate has been issued from the system with an incorrect expiry date.

All certificates that have been generated within the system can be managed from the AIS Booking System. To update this, you will need to access the course within the AIS Booking System, select the ‘Certificates' tab and select ‘Edit'. In the ‘Expiry Date Overwrite’ field, input the correct expiry date or tick the ‘Never Expires' box if applicable and select save. The expiry date will now updated in all system it’s synced to and be visible on the downloaded cert.

Joining Instructions have been sent with the incorrect information.

All joining instructions are managed within the AIS Admin Area within the specific course under the joining instructions tab. Check all details are correct and update if required. Please also check the information against the scheduled course in the system (e.g. times, dates, location). If you need to update multiple course joining instructions you can see how here.

I have uploaded a certificate for a delegate but their matrix has not updated.

When uploading certificates for courses that are on the matrix, it’s important that the same course ID is selected. The best way to do this to avoid errors is to upload certificates directly to the course on the matrix so the correct course ID is chosen.

I can’t link a course as a Parent/Qualification within the AIS Admin Area.

When selecting a Parent/Qualification from within the AIS Admin Area, it’s important to remember that the course you want to link isn’t already set as a Parent/Qualification course. For example, if I set course ID 1000 as a Parent course I wouldn’t be able to give course ID 1000 a Parent course as well. Courses can either be Parent courses or Child courses, they can’t be both.

The ‘Parent Course’ field is only for courses ran at AIS locations so TPS courses will not appear here. If you want to link a TPS course as a parent/child you will need to use the 'Qualification Parent Course' field.
